Team and workspaces

A workspace is one account: one subscription, one set of domains, mailboxes and contacts, and the people who can sign in to it. The Team page lists those people and lets the owner and admins invite more. What each person may do is set by their role. Shared mailboxes are read by everyone on the team; a personal mailbox is read by its own user only.

Roles

RoleCan
OwnerEverything. The owner is the person who created the workspace, and is the only one who sees Billing and the only one who makes someone an admin or takes it away.
AdminEverything except Billing: domains, mailboxes (creating, deleting, their settings, aliases and who a mailbox belongs to), routing (forwarders, webhooks, templates), API keys, spam settings, analytics, and the team (inviting members, removing people, renaming the team).
MemberThe inbox, contacts and campaigns (members can create and send campaigns), their own personal mailboxes (the mail client settings and resetting the password), and Settings → Profile. No configuration pages.

A member's sidebar shows only the pages they can use. A configuration page reached by typing its address sends them back to the inbox with a short explanation, and the dashboard's API refuses the same requests, so a role is not only a matter of what is on screen.

The role is chosen when inviting (it defaults to Member) and can be changed later from the role selector on the Team page. Admins can set a teammate to Member; only the owner can make someone an admin or turn an admin back into a member. Nobody can change the owner's role.

Teammates who joined before roles existed are admins. Until 28 September 2026 every seat could do everything except billing, so everyone who was already on a team then kept that access as an admin. The owner can make any of them a member from the Team page.

Seats

The number of people in a workspace is limited by the plan: 1 on Free, 3 on Plus, 10 on Pro, 50 on Scale. The Team page shows the seats in use. Inviting past the limit is refused with the plan that would allow it.

Inviting someone

  1. On the Team page choose Invite, enter the person's email address and choose their role. Only the owner can invite someone as an admin.
  2. They receive an email, written in the language of the person who invited them. If they already have a FounderMail account with that address, the invitation is applied when they next sign in; otherwise they register with that address and are added on their first sign-in.
  3. Until accepted, the invitation is listed under Pending invitations, where it can be withdrawn. Invitations expire; send a new one if it has.

The owner or an admin can remove a teammate at any time. Removal takes effect at their next request; conversations assigned to them stay assigned until someone reassigns them. Removing someone does not remove their personal mailboxes: those keep receiving and nobody reads them in the dashboard until an admin gives each one to somebody else or to the whole team from its page.

Working as a team

  • Assignment. Any conversation can be assigned to a teammate from the thread's workflow bar or the list's bulk bar. The assignee's name shows on the row, and the conversation appears in their Assigned to me view.
  • Notes. Internal notes on a thread are visible to everyone who can read the thread and never to the customer.
  • Done. Marking a conversation Done tells the rest of the team it needs no more attention; a new message from the customer reopens it for everyone.
  • Needs you. The view of conversations whose latest message is the customer's is the shared queue: what nobody has answered yet.

Several workspaces

A person can belong to more than one workspace, for example their own company's and a client's. The account menu at the foot of the sidebar lists them under Workspaces; choosing one switches everything, including the inbox, to that workspace. Each workspace has its own plan and billing.
